Обязанности | • Checking quality of documents. • Monitoring processes and compliance to company document verification systems. • Setting up and managing project filing systems. • Coordinating all activities relating to the Document Control procedure, including technical documents, drawings, and commercial correspondence. • Inputting document data into the standard registers ensuring that the information is accurate and up to date. • Generating the various document control transmittal reports as required. • Typing / formatting of project documents. • Ensuring that controlled copies of latest approved documents and drawings are given to the appropriate staff, clients, subcontractors and suppliers as applicable. • Maintaining updated records of all approved documents and drawings and their distribution. • Maintaining the documents and drawings in the project office with easy traceability. • Maintaining the files and control logs as required by the project. • Supporting staff with administration tasks such as printing, filing and other office-based activities. • Providing diary and email management for the project director and project teams • Organizing internal and external meetings and arranging presentations, documents, equipment and refreshments as required • Screening telephone calls, messages, correspondence and documentation • Issuing and dealing with confidential documents and staff issues as appropriate • Arranging travel and itineraries • Maintaining the electronic filing system • Coordinating office moves • Ordering stationary • Ordering personal protective equipment • Managing holiday records and charts • Completing monthly site hours reporting • Managing monthly absence reporting • Ensure the project directory is up-to-date • Managing site archiving • Reading and understand all conject process and procedures guides for projects • Ensuring the team adheres to the project processes and procedures including providing guidance when deviation occurs • Ensuring documents are being assigned to work packages, as per work packaging guidelines in tandem with the sub-contractor viewing restrictions • Completing quality assurance checks on all information coming on to the system and processing accordingly • Ensuring all drawings and documents published to the system are associated to a document transmittal • Attending all training provided by the Information Management Team as required • Downloading consultant drawings and documents for Day File and file hang drawing • Updating the technical submission schedule, the method statement schedules, RFI register and the drawing register • Managing all hard copy and electronic filing • Preparation of Minutes of meetings • Making translation from English - Chinese, Chinese- English; Russian-English, English-Russian. • Proficient with Windows, • Microsoft office programs, and use of database programs, Aconex system. |
